"The Benefit of Employee Suggestion Schemes"

As a forward-thinking employer, encouraging employee participation in improving your business can lead to significant benefits. One effective way to harness this potential is through employee suggestion schemes. These schemes not only foster innovation but can also result in financial gains for your business. Moreover, they come with advantageous tax and National Insurance benefits—up to a certain limit.


Types of Awards

There are two primary types of awards you can offer through employee suggestion schemes:


  1. Encouragement Awards: These are given for good suggestions or to reward special effort. These awards are exempt from tax and National Insurance up to £25.

  2. Financial Benefit Awards: These are given for suggestions that will save or generate money for your business. These awards are exempt up to £5,000. The exempt amount is the greater of:

  • 50% of the money you expect the suggestion to make or save your business in the year after implementation.


  • 10% of the money you expect it to make or save your business in the first five years after implementation.


Conditions for Exemption

To qualify for tax and National Insurance exemptions, the following conditions must be met:


  • Open Scheme: The suggestion scheme must be open to all employees or a defined group of employees (e.g., herdsman).

  • Relevant Suggestions: The suggestions must pertain to your business.


  • Beyond Normal Duties: It must be likely that the employee would not have made the suggestion as part of their normal work duties.


  • Non-Meeting Suggestions: The suggestion must not be made during a meeting intended for proposing new ideas.


Reporting and Compliance

If you award amounts that exceed these limits, the excess is considered earnings. You must report the additional amount to HMRC and handle the PAYE tax and National Insurance deductions through payroll accordingly.
